RIDDOR
RIDDOR (Reporting of Injuries, Diseases and Dangerous Occurrences Regulations) records are managed through the Incidents module. When an incident is marked as RIDDOR-reportable, it appears in the RIDDOR log for your records. The log helps you track your reporting obligations and maintain an audit-ready record of all reportable events.

Find the RIDDOR log: navigate to Incidents in the sidebar and look for the "RIDDOR Log" tab or filter. All incidents flagged as RIDDOR-reportable are listed here.

Flag an incident as RIDDOR-reportable: when recording a new incident (or editing an existing one), tick the "RIDDOR-reportable" checkbox if the event meets the criteria โ specified injury, over-7-day absence, dangerous occurrence, or occupational disease.

Understand RIDDOR criteria: specified injuries include fractures (excluding fingers/thumbs/toes), amputations, eye injuries, crush injuries, and loss of consciousness. Over-7-day incapacitation (not counting the day of the accident) must be reported within 15 days. Dangerous occurrences are listed in Schedule 2 of the regulations.

Report to HSE: RIDDOR reports must be made to the Health and Safety Executive (HSE). Submit the report on the HSE website (hse.gov.uk/riddor) โ ClubSentinel's RIDDOR log keeps your internal record; the HSE submission is separate.

Record your HSE reference: after submitting to HSE, note the reference number in the incident record's notes field. This links your internal record to the statutory report.

Retain records: RIDDOR records must be kept for at least 3 years. All records in ClubSentinel are retained indefinitely.

When in doubt about whether an incident is RIDDOR-reportable, record it in ClubSentinel and tick the RIDDOR checkbox anyway โ you can always remove the flag later. It is better to have a record and decide it doesn't need reporting than to miss a reporting obligation. Check hse.gov.uk/riddor for the full criteria.
