Maintenance
Log and manage all maintenance tasks across the club — planned preventive maintenance, reactive repairs, contractor works, and equipment servicing. Each task has a priority level (low / medium / high / urgent), an assigned area, a due date, and a completion record with outcome notes.
Common actions
- 1
Log a new task: tap "+ Add Task" and fill in the description, area, priority, and due date. Assign it to a staff member or leave it unassigned for a manager to pick up.
- 2
Set the priority level: choose Low, Medium, High, or Urgent. Urgent tasks appear at the top of the list and contribute most to your compliance score — resolve these first.
- 3
Mark a task as complete: open the task and tap "Mark Complete". Add outcome notes describing what was done — this creates an audit trail for any future inspection.
- 4
Log contractor work: when an external contractor carries out work, create a task, set the assigned area, and add notes including the contractor name, their visit date, and any certificate or report reference numbers.
- 5
Filter by status or priority: use the Status filter (Open / In Progress / Complete) and the Priority filter to focus on what needs attention. On mobile, tap "Filters" to open the filter panel.
- 6
Link to an asset: in the task form, enter the related asset name. This links the maintenance record to the asset's history so the full service trail is visible in one place.
💡 Tip
High and Urgent tasks that stay open past their due date will push your maintenance compliance score down. Even if a task can't be completed yet, update the due date and add a note — this shows auditors that you're actively managing outstanding issues.
