Safeguarding

Manage safeguarding concerns, DBS check records, and staff and volunteer suitability information in one secure location. The module tracks open concern investigations, referral decisions, and case outcomes โ€” and sends alerts when DBS checks approach their renewal date.

Common actions

  1. 1

Log a safeguarding concern: tap "+ New Concern" and record the concern type, the person involved, the date, a description of the concern, and who raised it. All entries are date-stamped and restricted to admin roles.

  2. 2

Update the investigation status: as the concern is investigated, open the record and update the status (Open / Under Investigation / Referred / Closed) and add investigation notes at each stage.

  3. 3

Record a referral: if the concern is referred to the Local Authority Designated Officer (LADO) or another agency, record the referral date, the body referred to, and the reference number.

  4. 4

Close a concern: once the investigation is complete, update the outcome notes and change the status to Closed. A reason for closure is required โ€” the record is retained permanently.

  5. 5

Manage DBS records: use the DBS section to log each staff member's and volunteer's DBS check โ€” check level (Basic / Standard / Enhanced), certificate number, issue date, and renewal date. ClubSentinel alerts you when a renewal is due.

  6. 6

Filter open concerns: use the Status filter to show only Open or Under Investigation concerns so nothing is missed.

๐Ÿ’ก Tip

Never delete a safeguarding concern record โ€” even if the concern turns out to be unfounded. England Golf's safeguarding framework expects a complete record of all concerns raised, how they were investigated, and what the outcome was. A thorough closed record demonstrates a robust safeguarding culture.
