Assets
The Assets module tracks every piece of equipment, machinery, and infrastructure across your club — from mowers and buggies to fire extinguishers and electrical panels. Each asset record captures its location, status, inspection schedule, maintenance history, and a QR code that staff can scan on-site to log inspections or report faults.
Common actions

Add an asset: tap "+ Add Asset" and fill in the name, category, location, and status. Set an inspection frequency if the asset requires regular checks — ClubSentinel will alert you when a check is due.

View asset details: click any asset in the list to open its full record. You'll see the full inspection and maintenance history, current status, and any outstanding actions linked to that asset.

Change an asset's status: open the asset and select a new status from the dropdown — Active, Under Maintenance, Out of Service, or Decommissioned. Add a note explaining the change.

Print or share a QR code: open the asset record and tap "View QR Code". Print it and attach it to the physical asset so staff can scan it to log an inspection or report a fault directly from the equipment.

Log an inspection from a QR scan: scan the asset's QR code with any smartphone camera. The public asset page opens — tap "Log Inspection" to be taken straight to the Inspections form with the asset name pre-filled.

Filter the list: use the status, category, and location filters at the top of the page to narrow the list. On mobile, tap the "Filters" button to open the filter panel.

Export: use the export option (admin role) to download the full asset register as a CSV for your records or for an R&A / England Golf audit.
💡 Tip
Attach a QR code to every piece of mobile machinery — mowers, buggies, sprayers. Once the label is on, the greenkeeping team can log checks on the course without coming back to the office. This is the fastest way to build up a strong inspection history.
