COSHH Register
The COSHH Register tracks every hazardous substance used at your club — greenkeeping chemicals, cleaning products, fuel, pesticides, and any other materials requiring a Safety Data Sheet (SDS).
Each record stores hazard classification, signal word, PPE requirements, exposure controls, first-aid measures, spillage procedure, and the SDS review date.
ClubSentinel offers three AI-assisted ways to add a product, so you spend less time on admin and more time on the course:
- Upload an SDS PDF — the AI extracts every hazard field automatically
- Photograph the product label — the AI reads it and pre-fills what it can
- Ask the AI Assistant to find an SDS online — it searches the web, finds the manufacturer's PDF, and offers a one-tap import directly into the register
You can also add products manually if you prefer.
Common actions

Add a product manually: tap "+ Add Product", fill in the product name, supplier, hazard level, PPE required, and storage notes, and save. Use this when you already have the safety information to hand.

Auto-fill from an SDS PDF: when adding or editing a product, use "Upload SDS PDF" to attach the data sheet. The AI reads the PDF and pre-fills hazard classification, signal word, PPE requirements, first-aid measures, spillage procedure, and sets the SDS review date to one year from today. Review the pre-filled fields, correct anything that looks wrong, and save.

Auto-fill from a label photo: if you have the container but not the SDS, open the product form and use "Photograph Label". Point your camera at the product label — the AI extracts the product name, supplier, and any hazard information printed on the container and pre-fills the form. Always verify the result against the full SDS when you can.

Find an SDS using the AI Assistant: if you don't have the SDS or the container, ask the AI Assistant. Tap the gold ✦ button, then type a question like "find me an SDS for Syngenta Headway from a UK supplier". The AI searches the web, locates the manufacturer's PDF, and displays an import card. Tap "Import to COSHH" — the record is created automatically with all hazard fields extracted from the PDF.

Set the SDS review date: after any AI extraction, the review date is automatically set to one year from today. You can change this in the product form. Products past their review date appear with a red left border in the list — open the product and update the review date after completing your annual review.

View a product's safety data: tap any product in the list to open its full record. You'll see all stored safety information, the last and next SDS review dates, and a link to the attached SDS document.

Approve a product: once a record is complete and verified, change its status to Approved. Approved products are highlighted in the list so you can see at a glance which records are fully signed off.

Delete a product: open the product record and use the Delete option in the action menu (admin role required). Deletion is permanent — download or note the SDS details first if you need to retain them.
💡 Tip
The SDS PDF upload gives the most complete result — it reads the full data sheet and fills every hazard field. Use this whenever you can get the PDF from the manufacturer's website or your supplier.
The label photo route is for when you've only got the container in your hand and no internet access to find the PDF. It captures what's on the label but may miss fields only found in the full SDS.
The AI Assistant search is for when you have neither — just describe the product and let the AI find it. It works best with well-known UK and EU suppliers (Syngenta, Bayer, ICL, Everris, Scotts).
Whichever route you use, always review the AI-filled fields before saving — the AI is accurate on standard SDS formats but can occasionally misread unusual layouts or low-quality scans.
