Documents
Store, manage, and review all compliance documents in one place, policies, procedures, risk assessments, method statements, and any other controlled documents. Each document has a status (Draft, Pending Sign-off, Current, Due for Review), a review cycle, version history, and an approval workflow.
Common actions
- 1
Upload a document: tap "+ Add Document" and upload a PDF. The AI analyses the document and auto-fills the title, category, department, author, version, and suggested review date. Check the pre-filled fields and save.
- 2
Review and approve a document: open a document in "Pending Sign-off" status. Review the content, then change the status to "Current" and save. The approval date is recorded automatically.
- 3
Mark a document as Due for Review: documents with a review date in the past are flagged automatically. Open the document, update the review date after completing your review, and change the status back to "Current".
- 4
View version history: each time a document is edited and saved, the previous version is stored. Open any document and scroll to the Version History section to see all previous versions with their dates.
- 5
Search for a document: use the search bar at the top of the list to find a document by name or keyword. Use the Category and Department filters to narrow the list.
- 6
Download or share: open any document and use the download link to get the file. Share the download link with committee members or auditors as needed.
๐ก Tip
The AI extraction works on uploaded PDFs. It reads the document content and suggests the most likely category and review date. For policies you've written in-house, the AI's suggestions are usually accurate. Always verify the review date before saving, as some policies may need a shorter cycle than the AI suggests.
