Your Compliance Score is a single number that shows how well your club is keeping on top of the seven core compliance areas tracked by ClubSentinel. This article explains exactly how it is calculated, what each module measures, and how to read it honestly.

The Dashboard is your compliance command centre. It shows a real-time compliance score (0–100) calculated across your core modules — Incidents, Maintenance, Training, Documents, Inspections, and Assets — along with a per-module breakdown, a list of upcoming actions due in the next 30 days, and a live activity feed of recent changes across your club.

The Assets module tracks every piece of equipment, machinery, and infrastructure across your club — from mowers and buggies to fire extinguishers and electrical panels. Each asset record captures its location, status, inspection schedule, maintenance history, and a QR code that staff can scan on-site to log inspections or report faults.

Log and manage all maintenance tasks across the club — planned preventive maintenance, reactive repairs, contractor works, and equipment servicing. Each task has a priority level (low / medium / high / urgent), an assigned area, a due date, and a completion record with outcome notes.

Schedule and record routine inspections of areas, equipment, and processes across the club. Each inspection record captures the inspection type, the result (pass / advisory / fail / not-applicable), detailed findings, required follow-up actions, and the next due date.

Manage legally required periodic safety checks — weekly fire door inspections, monthly emergency lighting tests, quarterly fire extinguisher checks, and any other scheduled checks your club carries out. Each check type has a configurable frequency, and the module tracks overdue checks with alerts.

Track every staff training record — mandatory certifications, in-house training sessions, e-learning completions, and external courses. Each record includes the staff member, training type, completion date, expiry date, and certificate. The module highlights records expiring soon so you can book renewals in advance.

Store, manage, and review all compliance documents in one place — policies, procedures, risk assessments, method statements, and any other controlled documents. Each document has a status (Draft, Pending Sign-off, Current, Due for Review), a review cycle, version history, and an approval workflow.

Record and investigate all accidents, near-misses, and adverse events at the club. The module supports RIDDOR-reportable incidents and corrective action planning. All incidents are timestamped, categorised by type and location, and linked to the responsible department.

RIDDOR (Reporting of Injuries, Diseases and Dangerous Occurrences Regulations) records are managed through the Incidents module. When an incident is marked as RIDDOR-reportable, it appears in the RIDDOR log for your records. The log helps you track your reporting obligations and maintain an audit-ready record of all reportable events.

The COSHH Register tracks every hazardous substance used at your club — greenkeeping chemicals, cleaning products, fuel, pesticides, and any other materials requiring a Safety Data Sheet (SDS). Each record stores hazard classification, signal word, PPE requirements, exposure controls, first-aid measures, spillage procedure, and the SDS review date. ClubSentinel offers three AI-assisted ways to add a product, so you spend less time on admin and more time on the course: - **Upload an SDS PDF** — the AI extracts every hazard field automatically - **Photograph the product label** — the AI reads it and pre-fills what it can - **Ask the AI Assistant to find an SDS online** — it searches the web, finds the manufacturer's PDF, and offers a one-tap import directly into the register You can also add products manually if you prefer.

The AI Assistant is a built-in compliance chat powered by Claude AI. It has live read access to all your records — inspections, incidents, training, documents, COSHH, and more — and answers questions in plain English. Use it to check your compliance status, find overdue items, summarise recent activity, or draft corrective action text.
