Training

Track every staff training record — mandatory certifications, in-house training sessions, e-learning completions, and external courses. Each record includes the staff member, training type, completion date, expiry date, and certificate. The module highlights records expiring soon so you can book renewals in advance.

Common actions

  1. 1

Add a training record: tap "+ Add Record" and select the staff member, training type, completion date, and expiry date. Attach the certificate or completion evidence if available.

  2. 2

Set an expiry date: always enter an expiry date for certificates that need renewal (first aid, IPAF, PASMA, pesticide spraying, etc.). ClubSentinel will flag the record as expiring soon at 30 days and overdue once expired.

  3. 3

Renew an expiring record: open the record and tap "Renew". This opens a quick form to log the new completion date, new expiry date, and updated certificate — the old record is preserved in history.

  4. 4

Filter by staff member or training type: use the filters at the top to see all training for a specific person or all records of a specific type across the team.

  5. 5

Identify gaps: use the "Expiring Soon" and "Expired" filters to find records that need urgent attention. Prioritise mandatory certifications — first aid, fire marshal, spraying certificates.

  6. 6

Bulk view for an audit: use the training type filter to show all records for a single mandatory training category across the whole team. This gives an instant compliance view for any inspection or R&A audit.

💡 Tip

Set a personal reminder in your diary for 60 days before key certificates expire — ClubSentinel flags them at 30 days, but booking external courses often takes 2–4 weeks lead time. The 60-day buffer gives you room to manoeuvre, especially for pesticide certificates where exam slots fill up quickly.
